E10 - South Australia Certificate of Education (SACE) Export guide
Preamble
Tes Timetable (Edval) files have the capability to produce an export of classes and student enrolments
for importing to SACE Schools Online.
The steps below
outline the procedures required to set this up in the etz file for SA schools
to create the export reports.
It is recommended
that schools take a copy of their file to run these exports, as there may be
some data manipulation required for the export. This will reduce manual manipulation and
possible data changes post export.
1. Enter School's 3 digit SACE ID Number
Under Setup > School
Info, specify the schools 3 digit SACE code, or check it is correct, as supplied by the SACE Board.
2. Enter SACE codes into Class Data (F6)
In the Classes > Class Data (F6) screen, ensure the SACE code column is selected from the View menu.
This will show a
column in Class Data (F6), titled SACE code.
The official SACE
codes, as per the SACE Board current year documentation, need to be entered in
this column next to the appropriate classes.
In the Reports
screen under Exports you will see a SACE (SA) choice. Click on this link.
Two files will be
created:
- A Classes file which contains School ID, Year, Stage, Official
Code, Credits, Class ID, Program variant, Semester, Teacher code, School class
code & Results due
- An Enrolments file with similar fields and
all students’ enrolments.
These files will be
exported to the Exports folder in the same location as your etz file is stored.
The main issues will be in the Class
Number and the Program Variant columns.
- If this does not match the SACE class
number due to the way you have chosen your codes to be written post line
generation, you can alter your codes in a copy of your file used purely for
these exports.
- Program Variants for subjects like
Mathematics will need to be added post export for any variants.
It is recommended that if the
class codes need to be changed to ensure the class number is correct on the
export, that this is done in a copy of the etz file. Continue to make changes
in this copy of the etz file until the export is as required for both export
files.
